Data We Collect
Operator Information
When you create a RentSet account, we collect your name, email address, and business information including business name, address, phone number, and website.
Renter Information
When a renter submits a rental application, we collect the information they provide: name, email, telephone, address, property type, hookup details, installation preferences, and uploaded photographs of their laundry space and hookups.
Agreement Records
We store a snapshot of the agreement template at the time each application is submitted, along with the applicant's typed confirmation.
Usage Records
We log activity such as logins, entity creation, updates, and exports for audit and security purposes.
Payment-Status Records
We store payment status (Expected, Payment Started, Checkout Opened, Customer Says Paid, Verified Paid, Past Due, etc.) but do not store full payment card numbers or process renter payments directly. Card payments are processed by Stripe on the rental owner's connected Stripe account.
Data Retention
We retain your data for as long as your account is active. Records may also be retained after cancellation or deletion where necessary for accounting, legal obligations, fraud prevention, security, dispute handling, and record integrity. We do not apply a single universal automated retention period across all record types.
Canceling a RentSet Software Subscription
Canceling a RentSet software subscription schedules that subscription to stop renewing at the end of the applicable paid period. Access may continue through the end of that period. Afterward, business data may remain available in read-only form. Canceling a subscription does not delete your business or your personal RentSet login.
Deleting a Business
Deleting a RentSet business is an irreversible archival process. It schedules any provider-backed RentSet software subscription for that business to stop renewing. Operational records such as active rentals, applications, service requests, payment requests, and equipment reservations may be canceled, retired, deactivated, or made inaccessible. Customer portal access is revoked.
The Business record and related customer, rental, application, agreement, service, inventory, payment-status, transaction, security, and audit records may be retained. Retained records may be necessary for accounting, legal obligations, fraud prevention, security, dispute handling, and record integrity. Renter Stripe Connect payment records and legally significant transaction history are not erased merely because the operator deletes the business.
Deleting a Personal RentSet Login
Deleting a personal RentSet login permanently removes the User authentication record. An Owner must first delete every business for which they remain the responsible owner. An additional Owner must first have their Owner role removed by another Owner. Deleting the login does not automatically erase retained business, operational, payment, legal, or security records. Staff and technician data associated with retained business records may also remain where necessary for business history and record integrity.
How to Request Deletion
Authenticated users can initiate personal-login deletion from the account area inside RentSet. Business owners can initiate business deletion from Business Settings after resolving the displayed blockers. If you cannot sign in, you may use our public Contact page to request deletion assistance. A contact request or support ticket creates a request for review and assistance; it does not automatically delete an account.
Renter Information and Responsibilities
Rental businesses using RentSet are independently responsible for the renter information they collect and their own legal retention obligations. Renters may contact the rental business that collected their information with questions about their data, or contact RentSet for privacy assistance.
Service Providers
We use third-party service providers to operate the platform. Each provider is responsible for its own privacy and security obligations:
- Stripe — Payment processing (Stripe Connect). Card data is entered on Stripe-hosted payment pages and never passes through RentSet servers.
- Base44 — Application hosting, database infrastructure, and authentication services.
- Email delivery provider — Transactional email delivery for account and rental notifications.
These providers have access to limited data necessary to perform their functions and are bound by their own privacy and security obligations.
Security
Each business's data is isolated by business identifier. Renter data is accessible only through secure, token-based links. Platform administrators can view business-level account information but cannot view renter payment details. We use industry-standard security practices to protect your data.
Data Export
Operators on Growth and Scale plans can export their business data in CSV format. Exports are logged and restricted to business owners. Exported data does not include secure access-token hashes or unrelated businesses' data.
